Building & Organizing Your VA Portfolio
Your Proof Builders can become more than exercises โ they can become evidence of what you can do.
Huwag mong isipin na homework lang ang Proof Builder.
Every module you've finished already produced real, usable evidence โ reports, audits, monitoring logs, recommendations. This lesson doesn't ask you to make anything new. It teaches you to organize what you've already built into a clean, honest, shareable portfolio: your Proof Vault.
What you'll actually do in this lesson
- Plan a simple Google Drive folder structure for your Proof Vault
- Practice renaming messy files into clear, professional names
- Learn what belongs in a beginner portfolio โ and what doesn't
- Practice choosing which Proof Builders show your best work
- Build a short, honest portfolio introduction you can copy into a doc
- Finish with a Portfolio Readiness Check
You will build your Proof Vault in this lesson โ not just read about it. Have your Google Drive open in another tab if you want to follow along for real.
Proof Builder โ Homework
Every Proof Builder you've completed was an opportunity to create evidence of a skill โ not just a box to check.
Proof Builders you may have already created
What a Beginner Portfolio Really Is
A beginner portfolio is not a fancy website with 30 pages and dozens of certificates. It's small, honest, and organized.
โ A portfolio is NOT
- A fancy website
- 30 pages of content
- Dozens of certificates
- Fake client results
- A pile of random screenshots
โ A portfolio IS
- A small, organized collection of work
- Evidence that demonstrates capability
- Easy for a reviewer to open and understand
- Honest about what is training vs. real work
- Something you can grow module by module
The simple formula
Example โ Inventory monitoring:
- Practice in the Meridian Seller Console
- Create a monitoring report
- Save it as portfolio evidence
Build Your Proof Vault
Let's plan your folder structure. Choose the folders that make sense for where you are right now โ you don't need every folder to exist yet.
Step 1 โ Your main folder
Create one main folder in Google Drive, named exactly this:
Step 2 โ Choose your module folders
Toggle the folders you want to include. This adapts to wherever you are in the Academy โ start with only what you need.
Name & Organize Your Files
Use this pattern for every file you save into your Proof Vault:
Good examples
3.3 - Proof Builder - Inventory Monitoring Report2.4 - Proof Builder - Listing Edit Documentation2.5 - Proof Builder - Offer Health Check
Need versions? Add - v1, - v2 at the end.

Try it: fix these file names
Pick the correctly renamed version for each messy file below.
Practice Work vs. Real Client Work
๐ข Practice Work
- Based on Academy scenarios
- Built in Meridian Seller Console or another training environment
- Clearly labeled as practice/training
- Can be used to demonstrate skills
๐ด Real Client Work
- Actually performed for a client or business
- Must respect confidentiality
- Must not expose client information
- Only included with the learner's permission to share it
Label practice work honestly
Created as part of Probinsiyanong VA Academy training.
(when this never actually happened)
A beginner doesn't need to pretend to have clients. You can demonstrate what you know, what you can produce, how you think, how you solve realistic scenarios, how you communicate findings, and how you organize work. That's the whole point of the Proof Builders.
Protect Your Information
A clean portfolio is curated โ not simply everything you've ever done. Before anything goes into your Proof Vault, remove or protect:
- Client names without permission
- Client email addresses
- Account IDs
- Passwords and access credentials
- Private business data
- Confidential sales figures
- Personal information
- Screenshots containing sensitive information
- Anything that violates an NDA or client agreement
Choose Your Best Proof
Alin ang isasama mo sa portfolio? โ Below are seven sample items. Select the ones you would include in a Proof Vault, then check your choices.
What goes inside each portfolio item?
Keep it lightweight โ a few short lines per item is enough.
- Title
- Skill Demonstrated
- Scenario / Context
- What I Did
- Deliverable
- Tools Used
- What I Learned
Skill: Inventory monitoring & escalation
Scenario: Meridian Seller Console โ restock & stranded inventory check
What I Did: Reviewed inventory health, flagged at-risk SKUs, wrote recommendations
Deliverable: Inventory Monitoring Report (PDF)
Tools: Amazon Seller Central (mock console)

Label: Practice work created during Probinsiyanong VA Academy training.
Build Your Portfolio Introduction
Fill this in and we'll generate a short, honest portfolio introduction you can paste into a Google Doc as the first page of your Proof Vault.
Certificate & Proof Vault
Starting with the updated certificate request process, learners will be asked to provide a Google Drive link containing their completed Proof Builder activities.
Your certificate represents:
This isn't about catching anyone doing something wrong. Most learners who finish the roadmap have already built excellent work โ this just makes sure it's saved and shareable when you request your certificate on My Progress.
